Role overview
RFP writer at Xoxoday
We're looking for a RFP Writer to join our Bids & Proposals team.
You'll write clear, accurate, persuasive responses to RFPs, RFIs, and due diligence questionnaires, working closely with Product, Engineering, Category, InfoSec, and Legal.
Our team uses an AI-powered response pipeline, so a big part of your role will be proofreading and editing first drafts to meet each RFP's requirements, ensuring every answer is accurate, compliant, and ready to submit.
What You'll Do - Draft, edit, and finalise responses to RFPs, RFIs, and security and compliance questionnaires within tight deadlines. - Proofread and edit AI-generated drafts against each RFP's requirements, including scope, format, word limits, and evaluation criteria. - Research new topics, clients, industries, and regions, then summarize your findings in clear, easy-to-understand language for the team and the buyer. - Work with subject-matter experts to gather information, asking specific questions and following up until you have what you need. - Track every mandatory requirement, format, and word limit so no submission is non-compliant. - Maintain and update the response knowledge repository, keeping content current and consistent. - Adapt tone, spelling, and terminology for buyers in different markets. - Upload and submit responses through buyer portals such as Ariba, Coupa, and OneTrust.
What We're Looking For Must-haves - 1 to 2 years of experience responding to RFPs or due diligence questionnaires in a SaaS environment. - Excellent written English, with strong proofreading and editing skills. - A self-starter with a natural curiosity and eagerness to learn, who can quickly understand complex technical and business topics and explain them simply. - The ability to work effectively with AI tools to boost productivity and improve the quality of your output. - Strong attention to detail and the discipline to answer exactly what is asked. - The ability to manage several bids at once and raise risks early. - Advanced proficiency in Word and Excel.
Preferred qualifications and skills
- Good to have - A degree in English Literature, Communications, or a related field. - Familiarity with the software industry and the software development lifecycle (SDLC). - Familiarity with security and compliance frameworks such as SOC 2, ISO 27001, GDPR, and India's DPDP Act. - Exposure to rewards, HR tech, loyalty, or fintech domains.
